Sales Office Manager

The main purpose of this role is to organize and coordinate administration duties and office procedures within your specific division. Your role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, and communication. Sales Office manager duties and responsibilities include scheduling deliveries and making delivery notes, making construction material supplies arrangements, and providing general administrative support to colleagues and management. Previous experience as a Sales Office Manager within the building sector would be an advantage. A successful Office Manager should also have experience with a variety of till counter software (email tools, spreadsheets, store inventory, and databases) and be able to accurately handle administrative duties. Ultimately, the Sales Office Manager should be able to ensure the smooth running of the office and help to improve company procedures and day-to-day operation.

Role And Responsibilities
• Devising/maintaining office systems, including store inventories and data management with filing
• Producing documents, briefing papers, reports, minutes
• Organising and chairing meetings
• Monitor KPI’s and liaise with Managing Director to ensure Store’s intake
• Produce reports for senior management
• Liaising with clients, suppliers, and other staff and responding to their inquiries and challenges on time
• Point person for maintenance, mailing, shipping, supplies, equipment, bills, and errands
• Organize and schedule material deliveries
• Partner with HR to maintain office policies as necessary
• Manage relationships with vendors, service providers, and landlord, ensuring that all items are invoiced and paid on time
• Manage contract and price negotiations with office vendors, service providers, and office lease
• Provide general support to visitors
• Responsible for developing and implementing office policies by setting up procedures and standards to guide the operation of the office
• Ensure that results are measured against standards, while making necessary changes along the way
• Allocate tasks and assignments to subordinates and monitor their performance
• Determine current trends and provide a review to management to act on
• Coach, mentor, and discipline office staff
• Maintain a safe and secure working environment
